This cleaning business income tracker works out what each job actually left you after cleaner labour, supplies and travel.
A job billed at ninety dollars is never ninety dollars in the bank. The hours it took at a real hourly rate, the supplies used and the drive there all come off, and a stack of paid invoices shows none of it. This file subtracts them job by job and totals the six months.
What is in it
- Five tabs and 1,541 formulas: Start Here, Setup, Jobs, Expenses and Dashboard.
- Setup — one number, the blended cleaner labour rate you pay per hour, yourself included. Change it and every job on the sheet recalculates.
- Jobs — one row per job: date, client, service and clean hours typed in; labour cost, job cost and net job profit worked out on the row.
- Expenses — insurance, the company vehicle, equipment replacement, licensing and marketing, all subtracted from the net number on the Dashboard.
- Dashboard — jobs, clean hours, revenue billed, labour cost, supplies, travel, other overhead, and what you actually netted.
- Revenue against net income month by month, plus every job ranked by net profit rather than by what it billed.

The worked example
The filled-in workbook is six months for one team: 168 jobs across standard, deep, move-out and commercial cleans. Revenue billed came to $29,303. Cleaner labour, supplies and travel took $15,180, leaving $11,999 — a 41% net margin.
Per job it is starker. A clean billed at $90 loses the cleaner hours it took at a real hourly rate, plus supplies and the travel to get there. Ranked by net profit rather than by what was billed, the order changes: a busier month does not always beat a quieter one carrying a couple of move-out cleans.

What does a cleaning business income tracker calculate?
It calculates net profit per job — what you billed minus cleaner labour at a real hourly rate, supplies and travel — and totals it over the period. In the worked example, 168 jobs billing $29,303 left $11,999 after labour, supplies and travel, a 41% net margin. Every job is also ranked by what it actually kept.
Does it work if I clean on my own?
Yes — put your own hourly rate into the Setup tab as the blended cleaner rate, and the file values your time the way it would value a team's. It handles standard, deep, move-out and commercial cleans in the same sheet. For solo cleaners the labour line is usually the number they had never subtracted.
What if I do not know my exact supplies or travel cost?
Start with your best estimate; every number on the Setup and Jobs tabs is editable, so the whole sheet reprices the moment you sharpen it. Getting the cleaner labour rate roughly right matters most, because it is the largest deduction on almost every job. The filled-in example gives you sensible magnitudes to sanity-check against.
Do I need Excel?
No — it is built as .xlsx and also runs in Google Sheets and LibreOffice. For Google Sheets use File, Import, Upload; the formulas carry over. Excel 2016 or newer works on Windows and Mac, with no macros and nothing to install.
Does it hold client addresses or connect to my invoicing app?
No — it never connects to an invoicing app or a bank account, and it holds only what you choose to type. The client column takes a name, an initial or a job code, whichever you prefer. It tracks what a job billed and what it cost, not self-employment tax or quarterly filings.
